Use one. Use all four. Every app shares an event code, so jumping from a PM event to its matching Budget project (or Check-in roster, or Radio inventory) is a single click — no re-login, no hunting for the right event.

Production Management

Run the show. Checklists, production schedules, vendors and crew, packing lists, documents, contacts — every operational detail in one workspace per event.

  • Standard checklist + packing list seeded fresh into each new event
  • AI-suggested checklist — Claude reads your event name, date, and venue and proposes 15–30 specific action items grouped by section. Tick the ones you need, add the rest in one click
  • Save any checklist as a reusable template — re-apply it to future events instead of building from scratch
  • Vendor cards with contract / insurance / payment / arrival toggles, plus arrival time + location that auto-sync into the production schedule

Budget

Track every dollar. Estimated vs. actual at the line-item level with multi-version snapshots, petty cash, contracts, and invoices attached to the project.

Check-in

Day-of attendee handling. Guest lists, fast search, status filters — built so a check-in line moves.

Radio

Production radio inventory. Track which units are issued, returned, or missing — per event, by unit number, against the same roster as Check-in.

  • Pulls people directly from Check-in (matched by event code) — no double entry
  • Per-event radio unit list with number + name + notes per unit
  • Issued / Returned / Lost statuses with quick filters
  • Stat chips for at-a-glance counts during the show

Shared document pool

Every event has one document folder. PM, Budget, Check-in and Radio all read and write to it — keyed by event code.

  • Upload a vendor contract in Budget — it shows up in PM's Documents tab tagged "from BUDGET"
  • SHA-256 dedupe catches accidental re-uploads of the same file
  • Inline Quick View for images, PDFs, and Drive / Dropbox links
  • External URL fields for files too big for inline storage

One client list

Clients live in one canonical list across the suite. Edit a client's POC or phone in either PM or Budget — the other app sees the change.

  • Name, POC, email, phone, notes per client
  • "Edit Client" button right on the linked event in PM (and Budget) — no digging into admin settings
  • Preferred vendor list is the same way — one pool, every event sees it

Cross-app event linking

Set an event code once. From any app, jump straight into the matching event in any other app — auto-logged in, no second password.

  • "Open in PM / Budget / Check-in / Radio" buttons on every event
  • Deep-link URLs that survive sign-in if the user isn't already logged in
  • Same Firestore behind everything — no syncing, no race conditions

Scoped team access

Invite an admin for full access, a regular member for your team, or scope a day-of hire to exactly the events and apps they need.

  • "Event-staff" role — pick which events and which apps they can see
  • Door scanner gets Check-in for one event, sees nothing else
  • Master controls invites + scope changes from PM's Workspace Settings
  • Automatic welcome emails with a one-click password-setup link — no manual provisioning on your end
  • Team-size limits enforced at invite time — try to add a 4th teammate on Pro and you'll see an in-app upgrade prompt instead of a silent fail

Self-serve plan changes

Upgrade or downgrade your plan from the Hub — no email back-and-forth. Stripe handles the proration math; we handle the seat-count math.

  • Plan & Billing modal in the Hub, master-only — pick a new tier and a billing interval (monthly or yearly)
  • Upgrades and yearly switches prorate immediately on the card on file
  • Downgrades take effect at end of period — you keep what you paid for
  • If a downgrade drops you below your current team count, the newest-added members get suspended (data stays safe, master always preserved) and we email you the list

No subscription. Card on file, charged at event creation. Best if you run a handful of events a year, not every weekend.

14-day card-on-file trial — first event during the trial isn't charged. 24-hour mistake-delete refund on every event after that. Workspace pauses after 60 days of no activity (data stays put; create any event to reactivate).

After that, your event becomes read-only (data stays, you just can't edit anymore). Why the split: PM and Budget keep changing through post-event reconciliation; Check-in and Radio operations end on event day. Need more time? Reply to support — we'll extend the lock for free. Or switch to a monthly plan for unlimited editing.

Example: PM ($65) first, Budget added later — Budget charges at $80 × 0.85 = $68 because it's now a 2-app bundle on event code KINGS-26.
